1. The agreement
These terms form an agreement between Mosaic (registered company details to be confirmed) and the care provider organisation (“Customer”) whose workspace you use. By creating an account you confirm you are authorised by that organisation.
2. The service
Mosaic provides ABC behaviour recording, PBS planning, protocol guidance, outcome measurement, analytics, reporting and optional AI-assisted pattern reviews. Mosaic supports — and never replaces — professional clinical judgement.
3. Accounts and roles
Each user must have their own account and keep their credentials confidential. Operator Admins are responsible for assigning the right role (Support Worker, Behavioural Specialist, Registered Manager, Operator Admin or Commissioner Reviewer) and removing access promptly when staff leave.
4. Acceptable use
- Record service users by pseudonym only — never enter names, NHS numbers, addresses or photographs.
- Do not record restrictive practices except as required by your organisation’s policy and law.
- Do not attempt to access another organisation’s data, probe security, or misuse the AI features.
5. Customer data
The Customer owns its data and is controller of service-user records. Mosaic processes it under our data processing terms and privacy notice. Data can be exported at any time.
6. AI-assisted features
AI outputs are observations that may be incomplete or wrong. They must be reviewed by a qualified person before informing any plan and must never be used as a diagnosis or sole basis for decisions.
7. Availability and changes
We aim for high availability but the service is provided during the pilot on an “as available” basis. We may improve features and will give reasonable notice of material changes.
8. Liability
Nothing limits liability for death or personal injury caused by negligence, fraud, or anything that cannot be limited by law. Otherwise, liability limits will be set out in the Customer’s order form.
9. Termination
Either party may end the agreement as set out in the order form. On termination we make data available for export for 30 days, then delete or return it as instructed, subject to legal retention requirements.
10. Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
